New Zealand Education Excellence Awards - Nominations Now Open!

Is your school or kura doing amazing things in education?

Nominate them for the New Zealand Education Excellence Awards and get their hard work recognised!

These awards, launched by the Ministry of Education, celebrate schools and kura excelling in:

Excellence in raising student achievement
Excellence in student engagement and attendance
Excellence in quality teaching and instruction
Excellence in educational leadership

Anyone can nominate a school or kura, including students, whānau, staff, or members of the wider community. Nominated schools are then invited to submit a full application with evidence of their achievements. Nominations close Friday 10 April, and applications close Friday 1 May.

Winners will receive $20,000, and finalists will be formally recognised at a national awards ceremony in Wellington on Wednesday 24 June.

Good news! Xero has just introduced a fresh new look for credit notes, bringing the design and navigation more in line with the invoicing experience you’re already familiar with. The updated layout makes creating and reviewing credit notes feel more intuitive, with clearer history details, improved feedback when errors occur, and a smoother data‑entry experience overall.

For schools, this makes handling refunds for camps or activities, correcting overpayments from parents, or recording supplier credits easier - all while maintaining a strong audit trail.

What’s different:

Manual Save: Credit notes now need to be manually saved, giving you more control.
Protected Paid Credits: Paid credits are protected to ensure your audit trail stays accurate.
Detailed History: You can now see more granular detail in the 'History' section, making it easier to track exactly what changes were made and by whom.
Improved Error Messages: No more guessing! If something is missing, the new error messages tell you exactly what’s needed so you can approve notes faster.
Keyboard Efficiency: For the power users among you, the tabbing and data entry experience is now much more efficient.

Here’s an easy Xero tip that many users overlook, but once you start using it, you’ll wonder how you ever lived without it. When you’re entering a due date on an invoice, you don’t need to stop and calculate the exact date based on your payment terms. Instead, Xero allows you to use quick shorthand to do the work for you.

Simply type shortcuts like “+7” , “+14” , or “+30” into the Due Date field, and Xero will automatically convert that into the correct calendar date. This is especially helpful if you work with different payment terms for different suppliers or if you’re batching a large number of invoices at once.

Xero Tip of the Month: Xero’s New Homepage Refresh Coming Soon!

Back in September, we announced that Xero was working on a refreshed navigation and homepage (formerly the Dashboard) to deliver a faster, cleaner, and more intuitive experience. With the navigation changes now live, Xero is moving to the next major update: the fully redesigned homepage.

The new homepage is being introduced organisation by organisation over the coming months and will continue through to March 2026, so you may begin to see the updated layout appearing soon.

Here’s what’s new in the homepage refresh:

More meaningful insights: Xero has upgraded existing widgets and introduced new ones such as tasks, recently paid invoices, and net profit/loss - giving you important financial information at a glance.
Customise your layout your way: You’ll be able to drag, drop, resize and reorder widgets so your homepage reflects what matters most to you. Your layout is unique to your login and won’t affect anyone else in your business.

Time to adjust: If you’re not quite ready for the new look, you can temporarily switch back to the old dashboard for up to 24 hours before Xero automatically returns you to the new layout - giving everyone the chance to ease in.

Xero has just launched a powerful new feature called JAX (Just Ask Xero), an AI-powered assistant designed to make navigating and using Xero even easier.

Whether you’re trying to find a specific report, understand a transaction, or get help with settings, simply type your question into the JAX assistant. It will provide quick, relevant answers or guide you directly to the section you need, saving you time and reducing the need to search through help articles.

What can you ask JAX? Here are just a few examples:

“How do I reconcile a bank transaction?”
“Where can I find my aged receivables report?”
“How do I add a new user to my Xero account?”

To view the history for any transaction:

Open the transaction (invoice, bill, or payment) you want to check.
Scroll down to the History & Notes section at the bottom of the page.
Click History & Notes to view a detailed timeline of changes.

This feature ensures everyone is on the same page and provides invaluable context for financial reviews – especially crucial during audits or when delegating tasks.

Xero Tip of the Month: Use Xero’s Automate Bill Entry Feature

We know that we’ve shared this tip before, but it’s so handy we think it’s worth highlighting again - especially for new admin staff or anyone who may have missed it the first time around.

Instead of printing and manually entering invoices, you can email them directly into Xero. This will allow you to send invoices from your email directly to your Xero inbox, saving you time and hassle.

To access your Xero email address, follow the instructions below:

Login to Xero and click on the business tab - bills to pay
Click the " Create bill from email" tab
Copy the email address into your address book
Email all invoices to this email address so that they will be waiting for you in Bills to Pay - Draft

Now, whenever an invoice comes in, just forward it to that email address. Xero will automatically create a draft bill for you—ready to be coded and submitted for approval.

Give it a go if you’re not already using this feature—it’s a simple step that makes a big difference!

Xero Tip of the Month: Attach File Now Available in New Fixed Assets

Great news! Xero’s fixed asset section just got an upgrade!

You’ll now enjoy a cleaner, more accessible, and responsive interface - making it easier than ever to manage your assets. All the familiar features are still there, and you can now attach files directly to your fixed asset records for improved documentation and tracking.

How to Attach a File:

Navigate to Fixed Assets: In the Xero accounting menu, select "Fixed assets".
Open Asset Details: Click on the asset number to view the asset details.
Attach Files: Click the "Attach files" button located on the right hand side of the page.
Upload or Drag and Drop: You can either click "Upload files" to select a file from your device or simply drag and drop a file into the upload area. Attachments could be a copy of the bill or a photo of the asset.
Save Changes: Click "Save as draft" or "Register" to save the changes.

Extra tip: You can also attach files to assets that have already been registered - making it even easier to keep your records accurate and up to date.

Xero Tip of the Month: Upload Multiple Bills at Once in Xero

Great news! You can now upload multiple bills at once in Xero.

Instead of uploading bills one by one, the Upload Bills feature lets you select and upload multiple files from your computer or simply drag and drop them into Xero. This update makes managing large volumes of bills quicker and easier.

To upload multiple bills:

1. In Xero, go to the Bills section.

2. Click the dropdown arrow next to the "New Bill" button and select "Upload Bills."

3. Choose the files from your computer or drag and drop them into the upload window.

4. Click "Upload Files"

A maintenance plan helps identify and address potential safety hazards in the school environment. Broken windows, faulty electrical systems, and uneven flooring can all pose serious risks to students and staff. Regular inspections and quick repairs are essential to keep everyone safe.

Reminder: Xero Classic Invoicing will retire on 27 February 2025

A reminder that Xero will be retiring the classic invoicing version on Thursday, February 27, 2025.

While many of you have already transitioned to the new invoicing system - following Xero's automatic switch on September 2, 2024 - some may still be in the process of moving from the classic to the new version. After the extended deadline of February 27, 2025, access to Xero Classic Invoicing will no longer be available.

If you haven’t fully switched to the new invoicing system yet, now is the time to do so. Familiarising yourself with the updated interface before the deadline will give you time to adjust and become comfortable with the new features.

A Guide to Ministry of Education Funding: A Handy Reminder for Schools

Effective school management requires a solid understanding of the funding available to support both everyday operations and special projects. The Ministry of Education provides various types of funding to help schools meet their financial needs, improve resources, and support students. Each funding stream has a specific purpose and is allocated based on different criteria, such as student numbers, school size, and specific educational requirements.

By staying informed about the specifics of each funding type, schools can ensure they are fully utilising the resources available to them. Below we have provided a brief summary of the most common types of Ministry of Education funding and how they are allocated to schools.

Operational grant: The operational grant is the primary source of funding for schools. It covers the day-to-day running costs of a school, including teaching resources, utilities, and administration. The amount allocated is based on the school’s student roll and the equity index, which factors in the socioeconomic background of students. The operational grant is paid to schools quarterly at the beginning of January, April, July, and October.

Teacher aide funding (ORS, IRF, SEG, etc.): This funding helps schools cover the costs of employing teacher aides to support students with higher needs. The level of funding is determined by the assessed needs of the students. Schools must apply for this funding for eligible students, and it is also paid quarterly, in Feb, May, August, and November.

ESOL funding: ESOL funding is available to help schools support students whose first language is not English. This funding assists with the costs associated with providing English language instruction to migrant and refugee students, as well as New Zealand-born students of migrant parents. The school must apply for this funding for eligible students, and it is paid twice a year in April and September.

Furniture & Equipment grant: The Furniture and Equipment grant a capital contribution to assist with the upgrading of furniture & equipment within a school. The level of funding is determined by the physical size of the school and is paid out in each 5-year period. Two-thirds is paid out in the first year of the 5-year cycle and the final third is paid out in year three. This funding is recorded on the balance sheet, not as income.

Capital Works (5YA) Funding: Capital Works funding, also known as 5YA (Five-Year Agreement) funding, is provided for upgrades to school land and buildings, and is to be used over a 5-year period. The amount of funding is determined by the Ministry of Education based on the assessed needs of the school and is set out in the school’s 10-Year Property Plan. This funding is recorded on the balance sheet, not as income.

Relief teacher funding: Schools can apply for this funding to cover the costs of hiring relief teachers when staff members are on extended sick leave, serving on a jury, or undertaking higher duties. This funding ensures that schools can continue to operate smoothly in the absence of key staff.

Xero Tip of the Month: How to Export and Back Up Your Financial Data

When it comes to your financial data, you can never be too cautious! While Xero is a cloud-based platform with strong security measures, it’s always a good idea to back up your financial data regularly for peace of mind. Regular exports of important reports and transactions can serve as a safeguard against any unforeseen issues.

Although Xero doesn't have a built-in backup feature, you can manually export your data to store it on your local device or secure cloud storage. Alternatively, you can use third-party apps to back up your Xero data, such as:

Coupler.io: This app automatically exports data from Xero to spreadsheets, data warehouses, and BI tools. You can set the refresh interval to daily, monthly, every hour, every 30 minutes, or every 15 minutes.

Xportmydata: This app automatically backs up your Xero data on a weekly basis. You can also use Xportmydata to export your Xero data to Excel, download attachments, and create CSV import files.

Both of these apps are available for download from the Xero App Marketplace.

Manual Exporting:

If you prefer to export your data manually, Xero doesn’t have a feature to copy all your school's data at once. However, you can export data from specific sections and generate reports individually. Your ability to export data depends on your user role in Xero. If you have the adviser role, you can run and export most reports. However, to export payroll reports, you need payroll admin access.

A school library is a hub for learning, creativity, and exploration, but it doesn't always take a large budget to make it an inviting space. With some thoughtful planning and creativity, you can breathe new life into your library without overspending.

Whether you're looking to improve the physical space, create a more engaging environment, or make the library more accessible for students, there are plenty of budget-friendly ways to give your school library a fresh new look. Below, we’ll share a few practical and creative strategies to revamp your library without breaking the bank.

Evaluate your space:

This needs to happen before you begin doing anything else. One library layout does not fit all. So observing and planning is very important. Your primary goal is to make the library space user-friendly for all of your students. Is there a lot of collaboration and co-teaching going on in your space? Do you have students that come to the library to take reading quizzes, or do they come to use the space for studying/online classes? Asking yourself questions like this can help you plan a layout.

Plan your space:

When choosing a layout, sometimes the only decision-maker is you. But you don’t have to remain on your library island all alone, talk to other school librarians in your area and beyond. If you have seen a library layout that has been recently changed that you like, it doesn’t hurt to get others’ opinions on what they did in the planning stage.

Redecorate your space:

Many schools are feeling the budget crunch these days, so our advice is to make the most of what you already have. The key here is repurpose, refresh, recycle, and reuse. If something can't be revived but it's within your budget to replace it, then go for it! Otherwise it is time to revitalize what you have, and a fresh coat of paint can do wonders in transforming a space.

Instead of buying new furniture, consider repainting or reupholstering old chairs and tables to give them a fresh, updated look. You can even repurpose items from other areas of the school or community to create comfortable reading nooks and cozy corners.

One out-of-the-box idea that you might want to try is connecting with local businesses. They may be willing to donate new books, furniture, or supplies to help refresh your library. Building strong relationships with community members can lead to future collaborations that benefit both the school and the local businesses.

Xero Tip of the Month: How to Merge Duplicate Contact Records

Are your contacts in Xero getting a little out of control? If the answer is yes it might be time for some Xero housekeeping! Duplicate contacts can easily be merged. All the financial data is merged into a single contact, and the duplicate is then archived. This allows you to keep all contact information and related transactions together, instead of across multiple records for the same contact.

When you merge duplicate contact records, no transactions are deleted (this includes invoices, bills, and other financial transactions). The transaction details are added to the activity details of the contact you keep.

To merge two or more contacts:

1. In the Contacts menu, select All contacts .

2. In the search field, start typing the name of the contact you want to merge.

3. Once you are satisfied the contacts are associated with the same company, select the checkbox for each contact you want to merge. Do not select the contact you want to retain . Ensure that the contact you keep has the correct bank account details.

4. Click Merge , then click Confirm merge . The merged contacts will be archived and all associated transactions will be merged into the activity details of the contact you keep.

Note: You can restore a merged contact if necessary by going to the Archived section (highlighted in the image below in the top toolbar). In this section, simply click on the contact and then click the Restore button located on the right-hand side of the page.

Xero Tip of the Month: Utilising the Xero Files Feature

Go Paperless with Xero’s File Inbox Feature!

Ditch the paper trail and switch to Xero’s File Inbox, a convenient and efficient document storage solution. This feature allows your school to move away from traditional archiving methods while enhancing both organisation and document accessibility.

While this feature doesn’t replace Google Drive (we still prefer you to upload the information needed for monthly Management Reports and annual accounts to the AFS Google Drive folder), it offers a secure and accessible place to store your school’s documents, such as lease agreements, supplier contracts, and insurance policies—all in one easy-to-access location.

In your Xero file library, you’ll find an Inbox and a Contracts folder, with the option to add any additional folders you may need. You can upload files directly to the file library or email them straight to the Inbox folder.

To access your Xero inbox and create a folder:

Click your organisation name, then select Files.
Click the "+ New Folder" option on the left hand side
Name your folder, then click save.

To email a file into your Xero inbox:

Click your organisation name, then select Files.
Copy your unique Xero files email address (found in the upper right section of the Files Library).
Add the email address to your email, attach your file and send.
Move the file out of the Inbox folder and into another folder if you want it to be available permanently.

Or upload by:

Click the organisation name, then select Files.
(Optional) Select a folder to upload the file to.
Click Upload File, then select your file.
Alternatively, you can drag and drop an attachment from your computer into the Files screen

Extra Tip: naming the files before you send them to Xero will save time filing them to folders

Managing bills just got easier! With Xero’s new Quick View functionality, you no longer need to click through individual bills or juggle multiple tabs!

Now, you can view and approve bills directly from the Quick View screen. This streamlined approach is a more efficient way to stay on top of your school’s payables - ideal for schools with multiple bills to process each month. Save time, reduce hassle, and ensure timely approvals with this handy feature!

To access this feature, simply click the icon on the far left under the "View" tab next to the bill you want to check, and voilà - the transaction details will pop up right there!

To approve a bill, go to the "Awaiting Approval" tab, select the bill/s you want to approve by ticking the box on the left-hand side, then click the 'Approve' button.

Xero Tip of the Month: The New Duplicate Bill Feature

Did you know that Xero has released a new duplicate bill feature?

Now, when Xero detects duplicate transactions, you’ll receive a notification on the Purchase Overview screen and on all tabs of the Bills page. You can click the close icon to dismiss the alert. To review each set of duplicate transactions, click " Review " on the notification. If the bills and credit notes are not duplicates, you can select " Keep all. " Otherwise, you can delete or void any duplicates.

If a bill or credit note has already been paid, you’ll need to manually remove the payment before you can void it. If you need assistance, please call AFS. Please note that if you create bills or credit notes from a repeating bill template, Xero will not identify them as duplicates. However, it may recognise duplicates if they are created from two different repeating templates.

Review identified duplicate transactions:

In the Business menu, select Bills to pay .
Click the menu icon, then select Review duplicate bills . Or, within the notification at the top of the page, click Review .
Click the contact name, then select the bill or credit note you want to review, or click Keep all if they’re not duplicates.
Review the bill fields, then select Void , Delete or Keep all . You can also review the file attachments on the bill.
Click Keep all , Delete or Void .
Review any other other contacts with duplicate bills.

As schools navigate the complexities of budgeting and resource allocation, identifying ways to reduce operational costs has become increasingly essential. While it may seem impossible to cut costs without compromising the quality of educational services, there are several areas where schools can enhance spending efficiency and achieve significant savings.

Below, we’ve compiled a range of cost-saving strategies that schools can implement to effectively lower their operational costs while maintaining a high standard of education.

1. Bulk Purchasing : Explore bulk purchasing agreements for supplies to benefit from lower prices. The Ministry of Education provides information on bulk purchasing options, which can lead to significant savings. Additionally, negotiate long-term contracts with suppliers to secure better pricing on regular supplies.

3. Reduce Paper Usage: Reduce paper usage by transitioning to digital processes (where possible). This can help cut down on printing costs and promote a more environmentally friendly approach.

4. Shut Off Computers: School computers in the computer rooms and offices require a lot of electricity. Shut down the computer rather than putting it to sleep to save on operational costs. You can install software and timers into the system that shuts off all the electrical programmed appliances after school hours. That way you can save on around 12 hours of unnecessary electrical usage.

5. Hire out Facility Space: Hiring out space is an idea to bring money in rather than save, but nonetheless, it will help the school budget. Most schools have areas that can be useful for organisations in the community. Offering to hire out these spaces creates a way for schools to bring some money in while strengthening community connections. Schools may consider hiring out sports facilities or equipment, theatre space for rehearsals or shows, or the school hall for community meetings or other events. Another idea is to hire out the car park for special events nearby.

6. Waste Reduction Strategies : Implementing waste reduction strategies benefits both the environment and the budget. Schools can initiate recycling programmes and work to minimise food waste in cafeterias.

7. Work with Local Businesses: Many local businesses are interested in sponsoring school events, as it offers them valuable exposure in the community. By partnering with these businesses, schools can not only reduce costs but also create mutually beneficial relationships. Seeking sponsorships or donations can help cover event expenses, and schools may also benefit from discounts on products and services.

A reminder that on 12 September 2024, Xero is launching three new streamlined business plans (Xero Ignite, Xero Grow and Xero Comprehensive) and enhancing the Ultimate plan in New Zealand.

These new plans are designed to provide easier access to the tools you need for efficient school financial management, with more key features included and fewer plans and add-ons to manage.

Changes to the Retirement of Classic Invoicing

On September 2, 2024, at 9 am NZT, all Xero invoicing users will automatically default to the new invoicing version each time they log into Xero.

You can still switch between the classic and new system until the extended deadline date of 20 November 2024. However, we strongly recommend transitioning to the new system as soon as possible to become familiar with its features and new interface.

If you are not already using new invoicing, now is the perfect time to make the switch. By familiarising yourself with the new version now, you'll have plenty of time to adjust and get comfortable with the updated interface.

Xero Tip of the Month: Customise Your Edit Invoice Screen

Did you know that the new version of Xero invoicing allows you to select or deselect which fields appear on your invoicing screen according to your needs?

To access this new feature, open the invoice you want to customise and follow these steps:

Click the Show/Hide Fields button on the left hand side on your invoice
Select or deselect the fields you want to display. You can choose from general invoice fields, such as those displayed at the top of the invoice, or the fields used in the table to input information.
Once you have made your selections, click Save. Your new settings will then be applied to all future sales invoices you create.

If left unaddressed, this can have detrimental effects on a building's structural integrity and the well-being of its occupants. Therefore, maintaining regular cleaning during colder months is essential for both health and building preservation.

Prevent mould build by following these four simple steps:

- Keep gutters clear and always check for possible leaks.

- Open windows whenever possible or use dehumidifiers to reduce moisture build up.

- Regularly clean surfaces that get wet or show signs of condensation.

- Always check interior surfaces for mould – and remove it as soon as possible.

Effective Time Management Tips for School Administrators

School administrators are a harried lot. They have so many things to do and even as work piles up, new ones arrive to add to their burden and it is no surprise if their schedules go all out of whack. School managers must be masters at juggling time and getting things done on time every day to ensure smooth functioning.

But how can you get it all done without camping out at the office? What are some practical ways to manage your time and maximise your productivity? Here are a few time management tips school managers and principals are likely to find useful.

1. Be Realistic: The first step is to be reasonable about what can be accomplished in a day. Starting the day with an impossibly huge task list will only lead to stress, frustration, and lack of focus.

One suggestion is the 1-3-5 rule. Each day, narrow your to-do list down to one big task, three medium tasks, and five small tasks. Of course, your average day brings many unexpected duties. Leave a medium task and 1-2 small tasks blank to account for the unpredictability of life as a school leader. If you find that you can handle more tasks a day, feel free to adapt the rule. Simply be realistic in the expectations you set for yourself.

2. Set Priorities: When you’re staring at a huge task list for the week, month, or even semester, prioritization is key. Start by writing it all down. Then, list deadlines. If a task doesn’t have a deadline, set one for yourself. Otherwise, it’s easy to lose sight of a project or let it fall off your radar. Re-organise your checklist according to deadline and importance. As you accomplish a task, however small, check it off and enjoy the feeling of accomplishment. Before you go to bed each night, set your most important priorities for the following day.

3. Break it into chunks: That feeling of accomplishment is vital to keep you motivated. When you have a giant task, break it into smaller chunks. Each “chunk” should take no more than 2-3 hours to accomplish. This keeps you focused in your goal and moving in the right direction. You’ll also experience an encouraging sense of accomplishment and productivity throughout the project, instead of only at the end.

4. Start with the most challenging task: We all tend to procrastinate on our most dreaded tasks. But when you have a task looming over you, you become unproductive in other areas. “Slay your dragons.” Tackle your most difficult task first. The satisfaction and relief of checking a monster off your to-do list will carry you through the rest of the day.

5. Take breaks: This may seem counterintuitive, but taking breaks actually increases your productivity. Without breaks, mental and/or physical fatigue will start to impair your effectiveness. Schedule small breaks (10-15 minutes) throughout your day. Go talk to some colleagues, walk around the block, or stretch. Avoid looking at your phone when you should be working by limiting unnecessary usage to your scheduled breaks.

After these breaks, you’ll return to work feeling refreshed and ready to go.

6. Know your productive times: Are you most productive in the morning? Just after lunch? Tackle your most challenging tasks at your most productive time of the day. Schedule quick, simple tasks for the part of your day that drags, like the last hour or so before heading home.

7. Practice self-care: Taking good care of yourself makes it easier to stay focused, productive, and positive.

Get plenty of rest, eat healthy and balanced meals, and make time to exercise. Don’t get so caught up in school that you neglect people or hobbies you enjoy. The more you create time for activities that leave you rejuvenated and refreshed, the better you can serve your faculty, students, and families.

By following these time management tips, you’ll have more energy and focus, less stress, and your most productive days yet.

Xero Tip of the Month: Create Repeating Bills

Did you know that you can create repeating bills?

Instead of manually creating a new bill each time for a regular supplier, you can use Xero’s repeating bill feature to do the work for you! This will save you time and energy by eliminating the need to create new bills manually every time. This is great for regular direct debits including electricity, gas or telephone charges.

Here's how to do it:

In the Business menu, select 'Bills to pay'
On the right hand side, click the arrow next to the 'New Bill', then select 'New Repeating Bill'
Enter or edit the information in the repeating transaction fields
Click 'Save'

In today's world, where environmental consciousness is increasingly vital, schools have a crucial role to play in fostering sustainability. Embracing eco-friendly practices not only benefits the planet but also offers a great opportunity for schools to save money. By implementing strategic measures, educational institutions can simultaneously reduce their environmental footprint and trim operational costs.

Below, we have compiled some basic tips to help you improve sustainability within your school community. Whether you choose to implement just one of the suggestions below or more, every action counts and can make a significant difference.

Reduce Paper Waste:

Paper is one of the most consumed materials in a school, so it is important to promote the reduction of paper consumption as much as possible, not only by students, but also by teachers and administrative staff.

Increasing use of e-books is a great option, reducing waste and reducing the weight of student’s backpacks. Encouraging reusing paper – writing on the blank side of new pieces of paper, and buying recycled or upcycled paper are a great way make progress with the tools we currently have. In some cases, there may really be no option other than to print, but where possible, printing back to back can help to reduce waste.

Encourage Creative Recycling Projects:

Knowing how to reuse objects and materials is extremely important to reduce waste and encourage resource recovery. An idea around this is to organise creativity workshops at school, where projects can be developed using recycled materials such as plastic bottles, glass jars, newspaper, various containers, and many other materials.

Energy Efficiency Practices:

Energy efficiency is not as arduous as it sounds. Turn off school lights and shut down your computers at the end of the day. Keep your classroom doors shut to stop heat escaping and do not block heaters. Check the energy consumption of your appliances and make it a major consideration when buying new ones and always purchase energy efficient light bulbs.

For creating environmentally friendly classrooms, make sure they are well insulated and use sustainable materials for repairs and re-building. These are all incremental steps which ensure overall sustainability in your school.

Reduce Water Consumption:

Reduce water consumption by fixing leaks promptly, installing low-flow faucets and toilets, and implementing water-saving practices such as collecting rainwater for landscaping.

Consider Investing in Energy Efficient Technologies:

Investing in energy-efficient technologies, such as LED lighting and smart thermostats, can reduce electricity consumption and lower utility bills over time.

Encourage Waste Reduction:

Encourage waste reduction and recycling initiatives by providing recycling bins throughout the school, composting organic waste, and promoting the use of reusable materials and containers. Xero Tip of the Month: Making the Most of Dual Screens

One of the most significant upgrades you can make for work efficiency is your screen setup. Xero bookkeeping and accounting are doable on a single screen, but tasks become much easier when you try out the dual-screen setup.

Using two monitors instead of one while using Xero can increase your productivity exponentially. You can have your accounting documents up on one monitor, and have Xero running on another. By working on both monitors at the same time, you will no longer have to tab in and out of applications to check reports and budgets, as you can now simply glance over to the other monitor to check instead.

Dual screen setups are becoming increasingly common in many workplaces as it gives the user a greater amount of screen space to work with, which can lead to an increase in productivity and prevent their desktop from becoming cluttered with windows and instances of other software.

Xero Tip of the Month: How to Customise Your Dashboard in Xero

Did you know you can customise your Xero Dashboard? With the 'Edit Dashboard' feature, you can easily rearrange or remove irrelevant tiles.

To edit the tiles on the Dashboard, click ‘Edit Dashboard’ in the top right corner. From there, drag items to your preferred position or select “Hide” or “Show” to adjust visibility.

In addition to this, you can also reorder your school's bank accounts so that the ones you use the most are at the top. To do this go to 'Accounting' - 'Bank Accounts' and use the arrows on the bottom right hand corner to move the accounts up and down.

Planning a school fundraiser can be a challenging and daunting task, requiring both time and effort. From brainstorming ideas to working within your budget, there are multiple factors to consider. However, at Accounting For Schools, we believe that with the right guidance and support, this process can evolve into a rewarding and successful experience.

Below, we've compiled some insightful tips to assist you in planning and executing an effective school fundraiser. Whether you're aiming to raise funds for a specific cause, school improvements, or extracurricular activities, these tips will help you maximise your efforts and achieve your fundraising goals

1. Start at the end: When you're planning your fundraising, a good place to start is by working out your outcomes. What do you need to raise money for? How much do you need to raise and what are the end goals?

2. Make the budget work: Work out your budget (we can help you with this) and generate ideas that will work with it. If you are on a shoestring budget, then low or zero cost fundraisers like sponsored walks could be a step in the right direction.

3. Be resourceful: What resources do you have access to? Pull out those inventories and consider any resources you can use to generate income.

4. Choose a type of fundraiser to meet your schools needs: With your objectives and audience in mind, it’s time to determine what strategy works best for your needs. There are multiple different ways of fundraising, each of which has its own distinct pros and cons. From product sales like cookie dough and spices to dedicated events like car washes, casino nights, and auctions, and even online crowdfunding, knowing which avenue best suits your needs and capabilities is essential for success. Consider combining multiple approaches to diversify your reach, and be prepared to continue to innovate and refine in the future.

5. Think strategically: When you have an idea you like, work out what the return on investment is. Calculate the number of attendees you aim to attract and multiply this against the amount you hope to raise per person, then deduct any estimated costs. Is this fundraiser likely to achieve your targets? If not, you may need to revise the idea or explore other fundraising channels instead. As well as generating income through entry fees, stallholder fees, raffles, tombolas and through any products or services you sell, you could also appeal for donations.

6. Add extra value: Can you raise attainment as well as raise money? If you can add educational value to your fundraiser then you really are on to a winner! If for example, your school needs to boost literacy levels then a scrabble tournament or story evening could be just what you need.

Xero: Classic Invoicing Is Retiring - 2 September 2024

For some time now, Xero has offered its users two invoicing options: classic invoicing and new invoicing. However, in line with its ongoing commitment to innovation and to make way for enhanced features and improved functionalities, Xero has announced that it will retire the classic invoicing option, effective September 2, 2024.

We understand that change can be an unsettling thing, but we assure you that Xero's new invoicing option is packed with time-saving tools designed to make invoicing more efficient. While some things may look a little different, all of your settings and invoice templates will seamlessly carry over.

If you are not already using new invoicing, now is the perfect time to make the switch. By familiarising yourself with the new version early on, you'll have plenty of time to adjust and get comfortable with the new interface.

How do I make the switch:

You can make the switch to the new version of invoicing by clicking on the 'switch to new version', button in classic invoicing. You can also switch back to classic invoicing until it's retired, giving you the flexibility to choose which version works best for you. Xero also offers helpful resources and support to guide you through the transition process.

What features can you expect in the new version?

Xero is continuously working on adding new features to the new version of invoicing. Before the retirement of classic invoicing, they will be incorporating many of the features that are currently available in classic invoicing, such as the ability to copy invoices to other documents, create overpayments, and view detailed history and notes.

Additionally, there will be exclusive features in the new version, including more flexible invoice customisation tools, improved email templates for faster payments, and an easier way to personalise payment methods directly from your invoice.

Looking to streamline your tasks, boost efficiency, and save time? Here are two essential processes in Xero that can make a huge difference!

Xero's Email-to-Bills Feature:
Xero offers an email-to-bills feature that provides you with a unique email address for sending your bills to Xero. Not only will these bills automatically appear in Xero as draft bills, but Xero will also read and enter all the important information, including supplier name, date, amount, etc.

Also, useful for school credit cards: if you have a physical receipt, you can either use a scanner or simply take a photo with your phone and forward it to the designated email address. You can find this email address in the 'Bills to Pay' section under the 'Business' tab. From there, click on the "Automate Bill Entry" button on the far right, and you will find your unique email address.

Xero's eInvoicing:
Xero's eInvoicing is not only faster – it’s also a more efficient and secure way to manage invoices and bills. eInvoicing exchanges invoices directly between accounting software so incoming eInvoices show up as a draft bill waiting to be paid, saving you time on data entry. It’s a standard inclusion in Xero plans and takes just a few quick steps to register to receive eInvoices.

Xero Tip of the Month: Retrieve Deleted or Voided Bills

Have you accidentally deleted a bill or voided a transaction and now need to retrieve the information? No problem! Just follow the simple steps below, and you'll be able to quickly locate your transaction within a matter of seconds.

In the “Business” menu, select “Bills to pay”
In the search bar, type the specific invoice details, which may include the company name, amount, or reference.
Click on the "Filter" icon on the right-hand side next to "Columns."
Under the "Deleted & Voided" section, select "Show" from the drop-down menu and then click on the bill to open it.
To retrieve the information, go to the right-hand side of the bill, click on "Bill Options," and then select "Copy."
This can now be saved as a new bill

The Awards for Teachers of Gifted Learners offers kaiako, in early learning, primary and secondary schools, an opportunity to build on their knowledge of giftedness and increase their skills for supporting gifted learners, whānau and communities.

Applications can be submitted for an individual or group of kaiako, and the awards can provide funding of up to $2,500 for an individual or $6,000 for a group. All applications must be endorsed by the school principal or tumuaki. Applications close Sunday 5 November 2023.

Xero Tip of the Month: Set-up Favourite Reports

Are you looking for a quick way to access your most commonly used reports in Xero? Simply mark them as favourites in the Accounting menu. This will not only save you valuable time but also allow you to effortlessly locate all your important financial information with a click of a button.

To mark a report as a favourite:

In the Accounting menu, click 'Reports'
Find the report you wish to mark as a favourite - If you can't see it, click 'More Reports' to expand the section
Then, click the star icon next to it to mark it as a favourite. (To unmark a report click the star again).
Your favourite reports will now show up on your accounting tab dropdown.

This updated invoicing version, known as "New Invoicing," offers a refreshed design, enhanced functionality, and many of the features you know and love from the classic version.

New invoicing allows you to add a new customer or inventory item from within an invoice. The customer or item is then saved to your contact list or inventory. So if you’re invoicing a client for the first time, there’s no need to set them up as a new customer in the usual way — it can be done on the fly to save you precious time.

Xero Tip of the Month: Working with Multiple Tabs

Experience the power of enhanced productivity by working with multiple tabs at once!

Did you know that you can view multiple pages of your organisation in Xero at the same time by using tabbed browsing? (as long as you're using a supported browser and aren't viewing multiple organisations at once).

There are three main ways to open a link in a new tab:

Hold down Ctrl + Left Click on the link
Right click on a link and select Open link in new tab
Ctrl + T to open a new tab

It is important to note that the data displayed on one tab will not automatically update in the other open tabs when you make a change. You must navigate to the other tabs and refresh your page (F5)

Once you've finished with your other tabs, simply right click on any tab, and select Close other Tabs

Retiring Old Reports in Xero

Just a reminder that the old version of Xero reports will be retired on July 31. To prevent any disruptions to your workflow, we recommend switching to the new version as soon as possible.

June is the final month you can complete work in old reports, so don’t start any work in old reports that you can’t finish by 6am NZST on 31 July 2023. For example, you’ll need to do your month-end reporting for July 2023 in new reports, as older versions won’t be available.

Please note that you will also lose access to draft reports, so make sure you finish and publish those reports (if you want to keep read-only access to them) or export the data to Excel.

Any work that you can’t complete before older versions are retired needs to be recreated in new reports.

Xero Tip of the Month: Using the Demo Company Feature

Have you ever wondered how a transaction would affect your accounts or how it would show in the reports, but you didn’t want to risk messing up your financials? Xero's demo company lets you experiment with usable test data.

The demo company allows you to test out transactions and features completely separate from your schools’ data. Utilising the demo company, therefore, won’t affect anything you already have set up, nor will anyone else be able to see data you enter or import into the demo company.

To access the demo company feature:

Click the list icon to the left of your school name on any page, and select My Xero
At the bottom of the next screen, you’ll see a link to Try the Demo Company (NZ). You can reset the data anytime. But be aware that any data you enter or import will automatically expire and reset after 28 days.

Trying to get the perfect work/life balance can be a cause of stress in itself. If you are feeling the strain from the demands of work and maintaining your personal life, the good news is that stress and a productive existence can go hand in hand. By being mindful, you can find the balance that’s best for you.

How much stress is good for you?

The Yerkes-Dodson law shows that an individual's performance increases with stress until cortisol levels get too high and then decreases again just as sharply - the secret is to stop your stress levels sending you down the other side of the bell curve. How much is too much varies for everyone but by understanding and managing your stress levels you can use them for good.

How to manage your stress:

Take Control - Feeling in control can decrease stress from negative levels by presenting the stress causes as surmountable challenges. Get a handle on your project, your tasks or your day by breaking them down into achievable goals and making choices about what to prioritise
Get positive - Your perception of your stress is important. Rather than leading to panic and inertia recognise the first quickening of your heart rate calmly as powerful, making you more alert and capable
Connect - Social support reduces stress so good relationships within the office team and the wider school environment make everyone more resilient to stress
Exercise - A good workout reduces bad stress and is good for the brain as well as the heart and lungs.
Sleep - Poor sleep is bad for stress levels and health so be disciplined about getting a good night’s rest. Being exhausted will increase susceptibility to further stress and damage productivity.

In addition to the obvious environmental benefits, the reduction of paper consumption in schools has many benefits, ranging from saving valuable time, funds and space to enhancing digital literacy.

Here are 5 simple tips your school can reduce paper consumption:

- Start taking notes electronically - there are some great online alternatives available that enable you to work without pen and paper. Check out the Xero App Store today!
- Make use of electronic communication and collaborate through emailing documents, sharing server folders and within word documents; encourage the use of "edit" and "comment" options instead of printing and marking pages.
- Store files digitally with document scanners
- Minimize Unnecessary Printing - only print the pages of a document that are required. If it is necessary to print it out, ensure you print on both sides (duplex) which is a really easy way to reduce paper consumption by half.
- Keep a collection box by the copy machine for bad copies so the second side can be reused.

Are you ready for eInvoicing?

It's time to wave "goodbye" to paper invoices and say "hello" to faster and easier payments through the implementation of eInvoicing! eInvoicing is a new way of invoicing that offers a more efficient and streamlined way to manage invoices with less manual handling and processing.

eInvoicing is now available on Xero and is included in all Xero Standard plans, so you don't need to purchase any additional add-on or external service to use it.

What is eInvoicing?

Invoicing software like Xero lets you exchange invoice information directly and safely between buyers' and suppliers' financial systems, even if these systems are different. How eInvoicing works:

A supplier's financial system generates an invoice for the school.
The invoice information passes through the eInvoicing network, where it validates information like NZ Business Number (NZBN).
The invoice information is passed to the School's financial system where it is coded and approved and is then ready to be paid.

What are the benefits of eInvoicing ?

With eInvoicing, your school will no longer need to receive paper-based or PDF invoices that have to be printed and will no longer need to manually enter these into your financial system. EInvoicing improves accuracy and security, reduces process time, and speeds up payments.

eInvoicing not only provides economic benefits - it saves the environment, too!

What is the difference between traditional invoicing and eInvoicing?

Traditional invoice processes can be time-consuming. As you can see in the image below comparing the two systems, there are several steps involved in the traditional invoicing system vs the new.

To reduce the risk of injuries and practice good ergonomics in the workplace consider these 5 simple tips below:

- When working at your desk adjust the height of your chair.
- You may need a foot rest.
- If you are using a table, make sure it is at the appropriate height for your physical requirements to sit at and work comfortably.
- Good posture is important. To maintain correct sitting posture means sitting comfortably in a chair. Some people may need a chair with arm rests so they can rest their elbows. The armrests assist in decreasing shoulder, neck, and upper back strain.
- Have both feet planted on the floor.

Xero Tip of the Month: Sync Xero Reports & Budgets to Google Sheets

By syncing your Xero account with a Google email account, you can export your Xero Reports and Budgets to Google Sheets! This will allow you to modify, save, and share your document by inviting others to view these documents in Google as read-only files, even if they don't have a Gmail account.

To export a Xero Report or Budget:

1. Log into your Xero and go to the Report or Budget that you would like to export.

2. To the right of that document, click the menu icon. You will be prompted to select an export method; select Google Sheets.

3. You will be prompted to log into your Gmail account if you have not already done so. Each time you launch a Google Sheets session, you must confirm that Xero is a trusted site.

4. Once you have exported your document into Google Sheets, you can edit, save or share it

Guiding Principles to Achieve a Healthy Work-Life Balance

At the Xerocon Conference 2022, we heard from inspiring speaker Kemi Nekvapil, who invited us to consider our wellbeing within ourselves, prioritising our self-care to feel nourished, happy, and fulfilled. The key takeaway message from this talk was that we should do something daily that brings us joy and excitement. Without a balanced life, how can we succeed?

As a result, we have put together some guiding principles to consider when it comes to taking time out to recharge and build a sustainable plan for you and your team to focus on wellbeing.

Self reflection: In order to move towards balance, we need to first understand what aspects of life may be off-centre. For example, do the different areas of your life work together harmoniously – or do you experience career and the rest of your life as almost incompatible? Do the various aspects complement each other rather than compete? If our careers - and sanity - are to last, creating professional and personal balance is a top priority.
Vibrant Values: The balance you enjoy depends on how much you are expressing the qualities and experiences you cherish the most, such as creativity, peace, success, and love. Values are the why of goals, and speak to the deepest level of motivation. They provide vision, vitality, and vibrancy for your life. Values touch on the core of who you are, and lead you to do what is uniquely you.
Stress-management: Part of effective stress management involves identifying and addressing pressure factors in your life. Change in these areas can take some time. However, there is much that you can do immediately to have a more relaxed experience. You may not be able to alter the events of your day – yet how you react is within your circle of influence. Some people feel calm with breathing exercises, taking a brief walk, or making themselves a coffee. What matters is that you find what works best for you.
Self care: Remember back to the last time you were sick – how did that impact your day, your week, and your responsibilities? Taking care of yourself first is certainly not selfish. In truth, unless you attend to your own welfare, you won't be able to fulfill your duties as a professional. Self-care means attending to the whole person – body, emotions, mind, and spirit. What refuels and nurtures you emotionally and spiritually? Balance your busy schedule with revitalizing leisure, by doing something you love daily.

Establishing a healthy work-life balance isn't always easy, but it can be achieved by understanding and prioritising your self-care in order to identify which changes will make the most significant impact in your work-life balance journey.

Did you know that you can drag & drop or upload files to support your financial data in Xero? You can do this on any screen that has the 'document' button. Add documents to invoices, bills, bank transactions, contacts, and even manual journals. This means you have all of your supporting documents as an audit trail in Xero and they are available any time you need them.

To attach a file from your desktop:

Open the transaction, item, or account and click the file icon
Locate the file you want to attach, and then click and drag the file from your desktop into the transaction window.

Below are Kemi's 7 Principles of Living a Balanced Life – founded on the premise that you cannot be sustainable to others if not to yourself:

1. Body nourishment – food, sleep, and exercise.

2. Self-care – you can't give to others if you don't give to yourself.

3. Creative expression

4. Joy creation

5. Elevating relationships and communities

6. Living passions

7. Purpose and contribution

The key takeaway message from this talk was that we must do something daily that brings us joy and excitement. Without a balanced life, how can we succeed? So, what will be on your list today that brings you joy and excitement?

Xero Tip of the Month: How To Use Tracking Effectively

Have you used the Xero tracking feature yet? Setting up tracking categories will allow you to report on different aspects of your school (such as departments, activities, or specific cost centres). This way, your reports can help you make proactive financial decisions.

Tracking also makes your chart of accounts more manageable as you only need one code for each expense that can be used by all of the departments (rather than English stationery and Maths stationery etc.).

To setup up tracking categories:

In the Accounting menu, select the Advanced option, then click Tracking categories.
Click + Add Tracking Category.
Under Tracking category name, enter the name of the tracking category (eg Department or Cost centre). Enter your tracking option names under Category options (eg English or School camp).
Click save. Now you will be able to run reports by filtering on specific tracking categories.

Applications for the Gifted Learner Awards are still open!

The purpose of this award is to provide funding to support and help young people to extend themselves in environments where their individuality, culture, and diversity is accepted – whether it’s cultural, spiritual, musical, artistic, or academic.

Past awards have supported tamariki/children and ākonga/students with art supplies and lessons, cultural development, science camps, STEM fees, an environmental club, sports tournaments, coaching, dancing, and other theatrical performances ... and more!

Applications can be for an individual or group of learners. The awards can provide funding of up to $2,500 per individual or $5,000 per group.

Xero Tip of the Month: Using the Assurance Dashboard

Zero in on Xero; with the Assurance Dashboard! The assurance dashboard allows you to monitor the accuracy and integrity of your financial data - all in one place! You can find the Assurance Dashboard under the Advisor menu by clicking on the Accounting Tab and then selecting the Advanced Section. Use the Assurance Dashboard to:

Check user activity as well as users' roles and last login dates.
Monitor bank account activity: the bank accounts tab shows the details of any manual bank account updates, specifically manually deleted statement lines or manually reconciled transactions.
See if any suppliers have duplicate bank account numbers or if any have been edited recently
Invoices and bills that have been backdated will show under the assurance dashboard where you can filter by time and drill into any transactions if necessary.

To access your Xero email address, follow the instructions below:

Login to Xero and click on the business tab - bills to pay
Click the "Create bill from email" tab
Copy the email address into your address book
Email all invoices to this email address so that they will be waiting for you in Bills to Pay - Draft
Code accordingly and submit for approval for the next person to authorize

Good ventilation plays an important part in reducing COVID-19 airborne transmission as we move into winter.

The best way to maximise ventilation is to open all windows and doors as much as possible and whenever it is practical to do so. The exception is spaces fitted with ducted air conditioning systems (excluding heat pumps), which do not rely on opening windows to bring in fresh air.

The Ministry of Education has provided a guide to fine-tune your school's ventilation strategies to maintain comfortable indoor temperatures while achieving good ventilation with discounted pricing for air cleaners and air purifiers directly from their supplier, Samsung New Zealand.

If your customer pays an invoice in multiple stages it can create a bookkeeping nightmare... But Xero has a quick way to record part payments!

To part-pay from within an invoice follow these instructions below:

Click on the match tab to bring up outstanding invoices.
Find the invoice the payment relates to and tick the box to the left. Xero will recognise that the full amount has not been paid and the word Split will appear to the right.
Click on Split and it will bring up the part payment.
Click Split again to save and then click on reconcile. Done! You have now successfully part-paid your invoice.

Insurance Cover for Digital Devices: Risk Management Scheme

With the growing use of ipads, laptops, and tablets, accidents will unfortunately happen, and devices will get damaged, so having a good insurance policy in place is an essential element for a school to consider when implementing an e-learning strategy.

Enter the Risk Management Scheme (RMS), promoted by the Ministry of Education which provides comprehensive contents, legal liability, and cyber insurance coverage, including public liability cover for state and state-integrated schools.

The Risk Management Scheme is treating the COVID-19 "Red Level" setting as a single event versus covering devices lost or damaged during this period. As such, damage, loss, or theft of devices incurred by a school in the scheme during the event (for example, the non-return or damage to electronic devices sent home) will be treated as a single claim with a single excess for that school.

What to expect under the RMS scheme:

Excess for handheld devices is $100 per claim (and one claim may cover multiple devices).
The scheme's insurance levy is $10.50 per pupil per annum which is deducted quarterly from your school's operational funding entitlement.
Schools placing a claim can work directly with the RMS Loss Adjustor (McLarens) to help manage the process. As repairs or replacement of devices will be needed during COVID-19, claims can be submitted as required and the excess will only be applied once.
The RMS COVID-19 Red event status will end when NZ returns to the Orange setting which means claims will revert to normal practice and each claim for a handheld device will incur the $100 excess.

Digital Devices for Learning: Options Available

Providing digital devices for learning in your school or kura can give opportunities for students to learn, create, share and collaborate beyond the classroom. However, it is important to know what options are available to Schools/Kura when it comes to providing devices for tamariki.

Schools and Kura may:

purchase or lease devices for use by students. If a device is required as part of the curriculum, parents and whanau cannot be charged for the use of the device. There are borrowing limits to apply to leasing to be aware of (repayments capped at 10% of the Schools operational grant).
ask students to bring their own device (BYOD). A BYOD scheme may lower the ongoing capital commitments of the school or kura, however, this cannot be made compulsory; schools and Kura must still provide devices for students that are unable or unwilling to bring their own device.
use its purchasing power to provide the school community an opportunity to purchase a device. Where the school or Kura has purchased devices, this sale should be treated as an item of stationery and full payment is made at the time of sale. Alternatively, where payment cannot be made in full, the sale should be completed directly between the parents / whanau and the retailer making the offer.

Schools an Kura may not :

lease devices to students. A lease is a type of loan (debt financing) and is not allowed under current legislation.
Offer ‘payment over time’ options to parents/whanau. This also creates a type of loan (debt financing) and is not allowed under current legislation.
subsidize the cost of devices that students will keep.

Xero Tip of the Month: Setting up Invoice Reminders

Need to follow up on your accounts receivable but don't have the time? Let Xero take care of it for you with the automatic invoice reminder feature! You can set up invoice reminders, configuring Xero to automatically send customer reminders based on how far an invoice is past due.

To set this up:

Go to Settings, then General Settings, then Invoice Settings, where you’ll see the Invoice Reminders button. Here you can turn on invoice reminders.
Choose from the predetermined days' past due parameters or create your own reminder. You can even customize what each reminder email says by clicking on the Edit link.

Additionally, Xero has the option to include a link to the invoice in the reminder email as well as an option to not send reminders for outstanding invoices under a certain amount. If you need to get even more specific, you can turn off reminders for a particular customer or invoice.

Important Update on Hubdoc Fetch: 28 April 2022

Xero knows that small businesses like the convenience of importing (fetching) documents into Hubdoc. However, supplier changes are increasingly restricting what the fetch functionality can do. This means that some fetch connections don’t always work and the service will become more unreliable in the future.

Because of this declining performance, Xero has made the difficult decision to close most fetch connections on 28 April 2022. This change will happen automatically.

All documents that have been previously fetched will remain in your Hubdoc organisation. Stripe fetch connections will continue to be available in New Zealand and Xero is continuing to invest in and improve Hubdoc to better meet your expectations for accuracy and efficiency.

You can still upload or email documents into Hubdoc to reduce the need for manual forwarding.

If you are thinking that collaborative learning spaces are expensive or labour-intensive to implement, fear not. It's possible to transform your classroom into a collaborative learning space using a little ingenuity and some low-cost supplies.

For example, you can add tennis balls to desk and chair legs to make them easier to move around or purchase (or re-purpose!) pillows and used furniture to create cozy spaces for independent or small group work. Do you have invoices you create and send regularly? Want to save yourself the time and trouble of having to repeat the same process again and again?

Utilize Xero's repeating invoice function by developing a template and Xero will automatically create an invoice or bill for you based on the frequency you specify. Xero will put it in the Draft tab if you need to vary the amount (or another field), and if everything is the same each time, it will go in the Awaiting Payment tab.

Again, this feature can be set up for both invoices and bills and is done by accessing the Repeating tab in each respective category. From there, click “New Repeating Invoice/Bill” and you’ll be able to create a new template or use an existing one, and set up the specifications you require.

In response to the move to the Governments COVID-19 Red Light Setting Protection Framework effective 11.59 pm on 23 January 2022, we have split our Wellington team into two to protect our team and clients, minimizing the spread of COVID-19. The teams will be taking turns, week-on week-off in the office and working remotely. As a result of splitting the team, your access to our team members will operate slightly differently in the meantime:

If you need to reach us by phone, please continue to call through as usual (04-909-7729), and if the respective team member isn't in the office, you will either be connected to their mobile phone, or we'll take a message, and they will get back to you. By creating customized roles for each Xero user, you can give staff access to certain parts of your Xero file. So, you don't need to show everything to everyone.

To set a user's role when you add them to your Xero organization, do the following:

1. Click on the Settings tab, then select General Settings.

2. Click the Users link, then click Invite a User

3. On the next screen, you will see options ranging from Advisor (which is the role you want to assign to us as your Chartered Accountant, to none). There are six different options

So, if you have a team member responsible for invoicing, then just give them invoice-only mode. They might not need to see your full Profit & Loss report. At the bottom of this screen, you'll see a link to "Understand user role details". This takes you to a page that fully explains what each role can access; no more confusion when choosing the correct options for a new user.

It happens to everyone: You're in a groove, zooming through your bank feed, and before you know it, you've incorrectly matched a transaction... Ooops! Xero's "Unreconcile" feature lets you fix this mistake quickly. Since the unreconcile keeps the account transaction and the bank statement line but removes the connection between them, this Xero tip will save you a ton of time and hassle!

How to unreconcile an account transaction:

Click on the three little dots to the right of the account name on the Dashboard.
Go to Account Transactions under the Find header.
Click the transaction you want to change to open it.
On the next screen, click Options and then select Unreconcile.
Click OK on the pop-up window to unreconcile the transaction.

After you have completed this process, you can now re-reconcile the bank statement line.

Want to see a Snapshot of how your School was tracking over the last 12 months – all on one page? Well, you can! With Xero's Business Snapshot!

Business snapshot is a dashboard that shows you valuable financial information, such as profitability, income, and expenses, plus much more allowing you to view your financial well-being and identify trends in a single snapshot! While designed with small businesses in mind, the Snapshot does provide some useful insights for Schools.

How to access Business Snapshot:

In the Business menu, select Business snapshot
To change the dashboard's reporting period, click Year to date. The text on the button changes to show the selected reporting period.
You can change the reporting basis from accrual to cash basis by clicking on Accrual in the top right-hand corner.
To print the snapshot, click Print. You can save the snapshot as a PDF when you're in the print preview.

To access extra features in Business Snapshot, upgrade to Analytics Plus!

Business Snapshot in Analytics Plus gives you a better insight into valuable school finances, such as cash flow, profitability, and plenty more...

Business snapshot in Analytics Plus lets you:

Use custom date ranges beyond the last month, quarter, financial year, or year to date.
Choose which accounts are included in the dashboard's calculations.
Choose which expenses to track on the expenses table
Drill down into a metric on the dashboard to see the underlying transactions.

Want to save time streamlining your actions on Xero?

When you log in to Xero, you will see a little plus icon (+) at the top right of the screen. Although it may seem like such a small detail, this one icon can be extremely helpful as the icon will let you access common actions in Xero from anywhere in the application.

Clicking this icon lets you quickly access several different functions, such as creating a new invoice, contact, bill or purchase order. This shortcut will save you time and help you develop a flow within your accounting process.

Are you struggling with limited space? Check out the below tips for a functional and organized classroom space.

1. Use room dividers and furniture on wheels to create a flexible learning environment that can be reconfigured for different learning situations, changing the seating arrangements based on whether students are working collaboratively, individually or having classroom discussions.

2. Perform a classroom audit: This will help you determine what is frequently used and what isn’t – removing all unnecessary items and creating a larger space for students to focus without distraction.

3. Narrow your colour palette: While colour makes us all feel happy and bright, adding too much colour can be too overwhelming and distracting. Narrowing your colour palette to just three primary colours: one neutral base colour and two accent colours like grey and tan will reduce the visual noise and allow your students to focus at their best.

Xero Tip of the Month: Invoice Reminders

Why worry about chasing up accounts receivable? Xero will do it for you!

All you have to do is set up the initial reminders and Xero will automatically send them depending on how far an invoice is past its due date.

Go to Settings, then General Settings, then Invoice Settings, where you’ll see the Invoice Reminders button. Choose from the predetermined days past due parameters or create your own reminder. You can customize what each reminder email says; do this through the Edit link.

Additionally, Xero lets you include a link to the invoice in the reminder email as well as an option to not send reminders for outstanding invoices under a certain amount. If you choose, you can turn off reminders for a particular customer or invoice.

Prime Minister's Vocational Excellence Award

The Prime Minister's Vocational Excellence Award is an excellent opportunity for your school to nominate your top year 12 or year 13 school student who demonstrates vocational excellence. The award aims to celebrate the achievement of secondary students enrolled in vocational programmes and encourage more young people to pursue vocational education and training.

The Recipient will receive a $2000 cash prize and an official certificate presented at your school's end-of-year prizegiving. Nominations will be accepted up until Friday, 1 October 2021.

Xero Tip of the Month: The Inbuilt Calculator

Did you know that Xero has an inbuilt calculator that allows you to calculate amounts as you create transactions?

This is a great trick for speeding up your data entry!

When you enter a calculation in a field (box) and then press the Enter or Tab keys, Xero automatically calculates the result. The calculator is available in the Quantity, Unit Price, and Disc % fields in transactions, and the Debit and Credit fields within manual journals. In new invoicing, discount percentages are calculated automatically, so the calculator isn’t available.

Creatives In Schools: Application For Funding

The Ministry of Education is inviting schools to apply for the Creatives in Schools programme (round 3 intake) opening June 2021.

The purpose of this programme aims to enhance the well-being of students while developing knowledge and skills in communication, collaboration and creative practices.

As a school, you will partner with a creative professional to provide an engaging learning experience for your students. If your proposal is successful, your school could receive up to $17,000 in funding per project. 117 projects throughout New Zealand will only be selected.

Xero Additional Authentication Update: 1 June 2021

In the coming months, multi-factor authentication (MFA) will become mandatory for all Xero customers giving you an extra layer of security to help keep your school information secure. While this is an extra step when accessing Xero, think of it as an extra bolt on the door to keep your data secure.

You can use MFA with an authentication app (like Xero Verify) before it becomes mandatory but initially, there will be an opt-in phase where you will see a ‘Not now’ button to skip setup until 1 June 2021.
